Non-Profit Bookkeeper / Accountant Job Description

We are re-organizing our administrative staff and are looking for a financial professional to join our close-knit team. If you are someone who wants to grow with the job and is excited by the opportunity to contribute to the success of our community, we’d like to hear from you.  We expect this to be a 24-30 hour/week position, but it might be slightly more or less than this at different points in our annual cycle.

Primary Functions:
The Non-Profit Bookkeeper/Accountant is responsible for anything that touches money. This includes, but is not limited to, preparing, managing, and maintaining the Congregation’s financial records. This person is also responsible for all Human Resources functions.

The Non-Profit Bookkeeper/Accountant reports directly to the Executive Director, working with minimal supervision.  S/he also works closely with the Synagogue Treasurer and Finance Committee and may take occasional direction from the Treasurer or Synagogue President.

Specific Responsibilities:

Bookkeeping and Accounting:  All A/R, A/P, Payroll, Budgeting, and Financial Statement preparation, and compilation work with outside accountant.

Banking: Conduct all banking on behalf of the congregation—record and deposit payments, credit card transactions, monthly bank reconciliations, cash management. Maintain proper signature cards and permissions as Board leadership changes. Act as primary contact with bankers.

Insurance: Coordinate and maintain all insurance needs.

Retirement and HSA accounts: Coordinate, maintain and make timely payments

Board/Committee Support: Provide standardized monthly reports.  Prepare and analyze reports as required by the Executive Director, Treasurer, Executive and Finance committees.  Develop and monitor operating and capital budgets and perform analyses and projections as required.  Attend Finance Committee meetings.

Congregant and Vendor Support: Send acknowledgements to all donors. Respond to congregant, donor and vendor queries on all financial obligations issues.  Prepare annual donor tax letters and any other communications as required by law.

Grant Administrator:  Create reports and documents as required by grantors.

Government Requirements – Prepare property tax exemption and property tax return, prepare sales tax return, and any other forms for government compliance.

Human Resources: Maintain congregational compliance with changing laws and our Employee Manual, recommending changes to the manual as needed.  Maintain files.  Select and administer any benefits approved by the Board of Directors.  Onboard new employees, including administering background checks as required. 

Other Duties: Membership Renewal, Religious School registration, High Holy Days administration and anything else Team Etz needs as requested by Executive Director.

The successful candidate will have the following skills and experience:

  • Must be a QuickBooks wizard and understand non-profit accounting.
  • Must be proficient with Word and Excel, to at least an intermediate level.
  • Extra points for grant reporting experience, especially with regard to government grants.
  • Must be willing to work on a Windows machine and physically capable of working at a computer workstation for most of each day.
  • Must be eager, resourceful, and capable of learning new skills.
  • Must have excellent written and oral communication.
  • Must be organized in terms of stuff, data, and time, and capable of managing multiple projects at once.
  • Must have strong attention to detail.
  • Must be pro-active, self-motivated, and able to work with minimal supervision but also willing and able to work as part of a team, including working at Etz to the extent allowed by the county health department.
  • Must be legally able to work in the United States and be able to pass a background check.

Compensation: This is a part-time hourly position expected to be 24-30 hours per week. Compensation commensurate with experience.

Work schedule is flexible and on-site at our Palo Alto location.
